What Is an Agentic System of Record?

The AI brings the reasoning. The system of record keeps the authority.

An agentic system of record is the authoritative business system that AI agents work through, not around: the agent brings the reasoning, and the system of record keeps authority over permissions, business rules, transaction execution, user approval, and the audit trail.

What makes a system of record agentic

An agentic system of record keeps the action inside the record. The AI agent does not get a copy of the data or a path around the business rules. It works through the same system, under the same controls, as the people who run the business.

  • Permissions. The agent sees and does only what the signed-in user can.
  • Business rules. Actions run through the system’s own logic, so a deposit an agent applies is the same transaction a person would post.
  • Transaction execution. The system of record performs the write, not the model.
  • User approval. Changes stop and wait for a person to confirm.
  • Audit trail. Every request is attributable, and every change appears in the normal activity log.
  • Computed answers. Figures come from the records themselves. Anything the system cannot compute comes back as unavailable, not as an estimate.

How FieldHub works as an agentic system of record

  • The assistant signs in as you. A standard OAuth sign-in connects it under your own roles, business units, and record access.
  • Read and write are separate grants. A read-only connection has no technical ability to modify data.
  • Every write waits for you. Applying a customer deposit, generating a statement, logging a collection note, receiving a Purchase Order, advancing a flow, or emailing a contact: the assistant shows what it is about to do and waits for your confirmation.
  • Every request is logged with the user, application, and session.
  • Finance answers come from the ledger. Because FieldHub’s general ledger is native, the assistant can drill from an income statement line to the journal entries behind it and back to the originating work order.

Why it matters for field service businesses

An AI assistant is only as trustworthy as the system it acts through. When accounting lives in one product and operations in another, an agent has to reconcile the two or guess. With one system of record and one ledger there is nothing to reconcile, and every action an agent takes is an ordinary, auditable FieldHub transaction.

Is “agentic system of record” an industry-standard term? Not yet. System of record is an established term. Agentic system of record is the term FieldHub uses for a system of record that AI agents act through directly, with the record keeping authority rather than handing it to a separate AI layer.
