JM Resources needed better visibility and coordination across sales, installation, service, and recurring revenue. As their previous software stopped innovating and support declined, managing jobs from start to finish became increasingly difficult.

As JM Resources continued to grow, so did the complexity of their operations. Managing commercial and residential alarm systems, smart home automation, and camera installations required careful coordination across multiple teams—from the initial sale through installation, ongoing service, and recurring revenue management.
The challenge wasn’t just tracking individual jobs. It was ensuring that customer information and scopes of work could be entered once and flow seamlessly through every stage of the process. Cross-team alignment and clear ownership became essential.
“Managing jobs all the way from the sales portion to completion, and then the recurring revenue and service side on the end,” explained Amanda Malloy, Office Operations Director at JM Resources. “We struggled specifically on the jobs portion—making everything cohesive on an installation side, managing projects from the time that they were sold and getting them all the way to the end.”
The tools that had supported the business in the past were beginning to show their limitations. Over time, they offered less flexibility and innovation. Support became harder to access, and questions about long-term scalability started to emerge.
“The previous software that we were on, which was once a great software, unfortunately, they stopped innovating,” Malloy noted. “They stopped making changes and equally their customer service really started to slip. It was hard to get people on the phone and solve your problems.”

“Before we were customers, FieldHub gives you essentially a virtual environment to operate within,” Malloy explained. “You can really get in there and start working through jobs, invoices, or whatever module you’re using. You can truly see if it’s something that would work for you, or planning for the mindset shifts your team may need during the change.”
The Sandbox didn’t just demonstrate capability—it helped prepare internal teams for change and reduced uncertainty. By the time the decision was made, the team already understood what to expect.

Once implementation began, Flows quickly became the foundation for how JM Resources managed work inside FieldHub. Flows are customizable, repeatable processes that connect team members across departments into a single workflow.
Where the team had previously relied on spreadsheets, emails, and off-system communication to track tasks and handoffs, Flows provided structure, clarity, and accountability. More importantly: tasks moved forward automatically. The communication overhead that had required daily status meetings and constant Slack check-ins disappeared. The system knew who needed to do what next, and reminded them when action was required.
“The flows are highly customizable and they can connect all of your team members across different departments into a single process,” Malloy said. “The feature most valuable to our team would be the Flows.”
One area where Flows made an immediate impact was customer cancellations—a process that had previously been managed manually outside the system.
Before FieldHub: The team used an Excel spreadsheet to document customers who were moving—tracking addresses, proposed settlement dates, and date triggers to know when to reach out to new homeowners through physical mail, email, or phone calls.
After FieldHub: When a customer calls to report they’re moving, the team records it directly in FieldHub with the proposed settlement date. The system pre-plans the tasks and identifies exactly when each next step needs to happen and which team member needs to do it.
This reduced manual effort, improved consistency, and gave the team greater confidence that nothing would fall through the cracks.
Another critical shift came when inventory management moved into the same system as jobs and work orders. Materials could now be tied directly to the scope of work, creating a seamless connection between what was sold and what needed to be installed.
Previously, the team relied on predetermined material lists outside the system and had to manually pull materials together just days before installation.
Now, “because the scope and the materials are pre-populated inside of the work order, we have a trigger point that tells our inventory team this job is getting ready to be scheduled,” Malloy explained. The team creates inventory kits, gathering all materials from the scope of work. They can then print a label that technicians scan, allowing JM Resources to track who has what at all times.
Technicians now arrive on-site prepared, with the right materials already in hand. The change reduced delays, eliminated confusion, and minimized errors that had previously required return trips or last-minute orders.
The shift to FieldHub brought more than new features—it fundamentally changed how JM Resources operates.
Sales, operations, service, and inventory are now aligned in a single system. Communication is clearer, handoffs are fewer, and everyone has visibility into what needs to happen next. By bringing all teams into the same system, FieldHub transformed how JM Resources communicates across departments, the efficiency with which work moves through the company, and the accuracy of information shared between teams.

The impact extended beyond internal operations. Customers now have access to a web portal where they can view work order history, invoices, and proposals—giving them greater transparency and control over their own accounts.

Malloy described the support experience as “some of the best support I’ve ever received from another company,” noting that the team is “always friendly” and “knowledgeable.” Even when FieldHub doesn’t have exactly what she’s looking for, “they’re going to point you in the closest direction that they have it, or they’re going to just work with you to create a new solution.”
