The Problem With Growing on Fragmented Software

For many low-voltage and security integration companies, growth creates a software problem before it creates a staffing one.

That’s exactly what TeleData CFO Wes Miller saw coming. As TeleData doubled in size, expanding its data cabling, fiber optic, security, fire alarm, and access control operations across northern Indiana, the company’s fragmented software stack wasn’t keeping pace.

TeleData was running three separate systems: one for technician tracking, one for job ticketing, and a standalone accounting platform. The three were loosely connected, but the integration was unreliable enough that reconciling them every period fell to the office team manually.

“We had a tracking system for our technicians, a ticketing system, and it sort of tied into our accounting software, but not completely,” Miller said. “It created a lot of work for us to reconcile our tickets and do invoicing and all those things.”

Recurring monthly revenue added another layer of complexity. Managing monthly, quarterly, and annual monitoring and service agreements manually, including the deferred revenue journal entries required to recognize them correctly, meant more hours and more room for error.

“Growing has enough challenges,” Miller said. “We wanted to take software off the list of things to worry about.”

Discovered at an Industry Conference, Selected on Substance

Miller wasn’t actively searching for FieldHub when he found it. He came across the company at an industry conference and started running through his requirements on the spot. The product checked every box.

What stood out to Miller went beyond the feature checklist. The software had clearly been built by someone with direct experience running a company like his.

“This was written by somebody that owned a security company or a low-voltage company,” Miller said. “They know the challenges with time tracking and material tracking and all the things that go into a good customer experience.”

That impression held through the evaluation process. Miller worked directly with FieldHub’s founder and president when deciding whether to move forward, which reinforced the sense that FieldHub operated with the same customer-first values TeleData applies to its own business.

Between the industry-specific depth, the direct access to leadership, and the value relative to every other option evaluated, the decision was straightforward.

A Structured Path to Go-Live

TeleData’s implementation followed a structured, phased process led by FieldHub’s implementation team. Group training sessions introduced the core platform, and one-on-one follow-up sessions filled in the gaps for workflows specific to TeleData’s operations.

FieldHub handled the data migration directly, removing a major implementation risk. When issues came up, resolution was fast, either through one-on-one sessions with the implementation team or through FieldHub’s support desk.

“It’s a relatively well-defined process,” Miller said. “If you follow the process that they’ve laid out, you’re going to be successful.”

What Changed After Go-Live

One System, No Gaps.

From initial opportunity through quoting, work order, invoicing, and general ledger posting, TeleData’s entire operational lifecycle now runs through FieldHub. No exports, no manual syncs, and no end-of-period reconciliation.

“All of my data is in the FieldHub database… We’re not doing one thing for quotes and another for inventory and something else to track tickets. Everything flows from opportunity to invoice.” — Miller

That includes billing. Invoices are now generated directly from work order data, so TeleData invoices based on what actually happened on the job.

“My invoice is generated based on the information on the work order,” Miller said. “We’re actually billing the customer for what we did, not what we think we did. It’s created a much better customer experience.”

Monthly, quarterly, and annual service agreements follow the same logic. Invoices generate automatically, with revenue recognized across the correct GL periods — no manual journal entries required.

The System is Ready for What Comes Next.

TeleData is evaluating additional locations and potential acquisitions. With FieldHub, many questions are largely answered. The system is already in place.

“I don’t have to worry about how we’re going to handle the data for an acquisition or a new division,” Miller said. “I just have the system. I can roll out our standard operating procedures to other companies we acquire. Now we can spend our time on things that actually help us generate more revenue.”

A Support Experience Unlike Any Other

TeleData’s experience with FieldHub’s support team has been a differentiator in its own right. Platform updates are communicated clearly ahead of release and have never interrupted day-to-day operations.

“I’ve never had a situation where they put out an update and I couldn’t continue business operations,” — Miller

But reliability is only part of it. For Miller, the relationship with FieldHub has become something more than a software vendor arrangement — and that distinction matters to him for the same reason it matters in his own business.

“I feel like they’re friends, as well as my software provider,” Miller said. “And some people, that’s not very important to, but to me, it’s really important because it reflects the same customer experience that I want to give my customers.”

For TeleData, switching to FieldHub didn’t just solve today’s operational problems. It removed software as a constraint on where they can go next.
