Operations Coordinator

We are seeking a dynamic junior-level professional to join our team in a diverse role spanning operations, human resources, event planning, and marketing. The ideal candidate should be a collaborative, versatile team member, ready to handle tasks ranging from managing social media campaigns to planning corporate events. In this role, you'll ensure that our organization runs smoothly and maintains high standards of professionalism and efficiency.

In addition to hands-on operational tasks, you will gain valuable experience in key business areas including digital marketing, where you'll schedule content and collaborate with marketing contractors to enhance our online presence. This junior position is perfect for someone looking to grow their skills and advance within a company.

The position is hybrid, requiring you to work from our coworking space two to three days a week, with a flexible schedule to balance between personal convenience and team collaboration. This setup not only allows for meaningful in-person interactions that build teamwork and community but also offers the flexibility to work remotely, ensuring productivity and personal work-life balance.

Responsibilities

  1. In the junior-level role, the selected candidate will be involved in diverse functions starting with Social Media Management which includes drafting and scheduling posts while operating under supervision, and monitoring the engagement and analytics of these posts to enhance online presence.
  2. Event Support is another crucial area requiring assistance with logistical arrangements and setup for company functions. This includes registering the company for various conferences and ensuring all related arrangements are well managed.
  3. In the sphere of Marketing Support, the role involves assisting with the collation and analysis of marketing data, as well as supporting marketing contractors in executing campaigns effectively. Lead data management including importing and merging data into a CRM.
  4. HR Assistance will encompass aiding the recruitment process by scheduling interviews, preparing necessary materials, and facilitating the onboarding process for new hires.
  5. Administrative responsibilities are also key, which include organizing, electronically filing incoming data, and maintaining accurate records and reports.
  6. Communications duties involve drafting internal communication materials like newsletters or memos and keeping the internal intranet updated with the latest information.
  7. Additionally, Vendor Coordination tasks such as managing vendor contracts, handling invoices, and serving as the first point of contact for routine vendor queries are part of the responsibilities.
  8. Customer Service includes handling initial customer inquiries, directing them accordingly, addressing accounting-related inquiries to reach resolutions, and engaging in customer feedback and improvement initiatives. Answer inbound phone calls and direct as needed.
  9. From a strategic perspective, Research involves conducting preliminary research on market trends and competitor analysis, compiling these findings to inform strategic planning.
  10. Lastly, Budget Tracking includes assisting in tracking expenses against budgets for specific projects or events, and compiling financial data necessary for the budget preparation process, ensuring fiscal discipline and resource allocation align with company goals.

Qualifications

The ideal candidate for this position will possess a four-year college degree in business administration, marketing, communications, human resources, or a related field. Strong communication skills are essential, both written and verbal, to effectively collaborate within our team and manage external communications. Applicants should demonstrate excellent organizational skills and the ability to prioritize tasks efficiently. Experience with social media platforms and digital marketing tools is required, as well as a basic understanding of event planning. We are looking for someone who is computer literate, proficient in Google Suite, and capable of adapting to new software and tools quickly. Additionally, the role demands flexibility and adaptability to thrive in a dynamic, hybrid work environment that blends remote and in-person interactions. Strong problem-solving skills are also critical to address and resolve challenges proactively.

Location

Work two to three days per week from a co-working space in NW DC. Days are somewhat flexible. You may work as often as you wish from the co-working space but would be required to collaborate with the senior team in person for portions of the week.
